The CLIMB Scheduling Coordinator coordinates all aspects of facility scheduling for the CLIMB Center and assists other Campus Schedulers as needed. Key responsibilities include coordinating room reservations for classes, meetings, special events, and external group rentals. At the CLIMB Center, this role handles external rentals by greeting guests, conducting facility tours, finalizing contracts, invoicing, and securing rental payments. Additionally, the position ensures appropriate staff support for events, including media services, public safety, catering, and transportation. The CLIMB Scheduling Coordinator collaborates with the Academic and Student Affairs Operations Program Manager, campus schedulers, and instructional staff to maintain accurate and timely scheduling. This role also leads the CLIMB Safety Committee and oversees building inspections.

Proficiency with Complex Systems: Demonstrated experience or ability to effectively use Banner or other complex computerized student information systems for scheduling and data management.Expertise in Room Scheduling Software: Proven experience or ability to utilize scheduling software to efficiently place classes and events in available spaces, ensuring optimal room usage.Event Documentation Management: Strong experience in creating and processing invoices, facility use agreements, liability insurance, and other event-related paperwork accurately and promptly.Organizational and Time Management Skills: Demonstrated ability to manage time effectively and stay organized while handling multiple tasks and meeting deadlines.Policy Interpretation and Application: Proven experience in interpreting, explaining, and applying complex policies and procedures accurately and clearly.Relationship Building and Teamwork: Ability to establish and maintain cooperative working relationships with faculty, staff, students, community members, and co-workers, promoting a collaborative and supportive environment.Strong Communication Skills: Excellent written and verbal communication skills to effectively engage with diverse stakeholders and ensure clear understanding of information and expectations.Physical Capability: Capacity to move and adjust classroom furniture (tables/chairs) infrequently to ensure proper room alignment as needed.Customer Service and Problem-Solving Orientation: Demonstrated commitment to providing high-quality customer service, promptly addressing inquiries, resolving conflicts, and proactively solving problems during events. Proven ability to collaborate with departments such as IT, Public Safety, and Facilities to ensure seamless event execution.Cultural Competency: Ability to build relationships and collaborate effectively with individuals from diverse backgrounds, ensuring inclusivity and equity in all aspects of event coordination.
Minimum Qualifications

Three years of administrative office support experience (college or business school training may be substituted for up to two years of the experience requirement).
