The Conference and Events Specialist at Portland Community College is an essential contributor to the success of diverse events hosted across the college’s campuses. Under the direction of management, this position is responsible for managing event logistics, from initial planning through to execution, ensuring a high-quality experience for both internal and external clients. The Specialist works closely with stakeholders to develop and coordinate events, including community gatherings, workshops, and conferences, while also providing tours of event spaces and supporting the rental process. A key focus of the role is fostering positive relationships with clients and ensuring all logistical needs, such as media services, public safety, and catering, are met. Additionally, the position aims to enhance revenue growth through rental agreements and contribute to the overall development of the events department. This role is ideal for a detail-oriented individual with a passion for delivering exceptional event experiences.

Event Planning Expertise: Minimum of two years of experience in event planning and logistics, including coordinating events of varying sizes and complexities.Proficiency in Event Management Software: Experience using event planning or room scheduling software to input event details, manage reservations, and coordinate logistics efficiently.Strong Communication Skills: Ability to effectively communicate with diverse internal and external stakeholders, ensuring clear understanding of event needs and expectations.Customer Service Orientation: Demonstrated experience in providing excellent customer service, responding promptly to inquiries, resolving conflicts, and fostering positive client relationships.Problem-Solving Abilities: Proven ability to address challenges proactively, develop solutions, and adapt to changing circumstances during events.Organizational and Project Management Skills: Strong attention to detail, with the ability to manage multiple events simultaneously, maintain accurate records, and meet deadlines.Financial Acumen: Understanding of basic accounting principles for generating invoices, tracking payments, and managing event-related expenses in compliance with college and state requirements.Collaboration and Relationship Building: Experience working effectively with various departments such as IT, Public Safety, Catering, and Facilities to ensure seamless event execution.Cultural Competency: Ability to build relationships and collaborate effectively across diverse backgrounds, ensuring inclusivity and equity in all aspects of event coordination.Adaptability and Flexibility: Willingness to embrace change and contribute to continuous improvement initiatives, including the development of new policies, practices, and training guides.
Minimum Qualifications
To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).
High school diploma or equivalent plus 2 years of college coursework emphasizing computer-related discipline, business technology or related field (relevant experience may substitute for the degree requirement on a year-for-year basis).Three years of administrative support experience with the primary focus of the experience encompassing the organization of large volumes of information; and using computer and customer service skills.
