Job Summary

This is the senior level in the Office Assistant job family. Incumbents in this classification perform a wide variety of responsible office support and administrative functions in support of the assigned college program, service, or department which requires full proficiency in general office functions. The Senior Office Assistant position requires in-depth and/or specialized technical knowledge of the department or work unit’s function, policies, procedures, governing laws and regulations or other pertinent bodies of knowledge. Incumbents may have lead worker responsibilities over classified staff.

In the context of the PCC Dental Front Desk, this role serves as the first point of contact for patients, providing essential administrative support to ensure the efficient operation of the dental clinic. Responsibilities include managing patient appointments, handling inquiries, and coordinating communication between patients and dental staff. The ideal candidate will possess exceptional customer service skills, strong attention to detail, and proficiency in dental practice management software. Key duties include checking patients in and out, rescheduling appointments, and maintaining accurate patient records in compliance with HIPAA regulations. Success in this position requires strong organizational abilities, effective time management, and a collaborative spirit, all of which contribute to a positive patient experience and a well-functioning dental team.

The dental front desk position requires a blend of skills and attributes essential for efficient clinic operations and positive patient experiences. Key criteria include:

  1. Demonstrates a friendly and professional demeanor when interacting with patients, students, and colleagues from diverse cultural backgrounds. 

  2. Effectively handles patient inquiries, complaints, and concerns with empathy and understanding.

  3. Clearly conveys information regarding appointments and treatment plans while maintaining open communication with faculty, staff, and students.

  4. Manages multiple tasks, prioritizes effectively, and optimizes scheduling to ensure the clinic runs smoothly.

  5. Accurately inputs information into EHR systems and is proficient in dental practice management software, as well as office equipment (e.g., phones, computers, printers).

  6. Quickly identifies and resolves issues, adapts to changes, and proactively seeks solutions to enhance efficiency.

  7. Adheres to HIPAA and other confidentiality regulations and ensures documentation is complete and compliant with office policies and procedures.

  8. Works effectively with the dental team to support patient care and participates in team initiatives.

Minimum Qualifications

To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).

  • High school diploma or equivalent. 

  • Five years of office assistant experience. 

  • College or business school training may be substituted for up to two years of the experience requirement. 

  • Experience, education or training in the department or program area of assignment is highly desirable.

 
Position Grade 18
Starting Salary Expectations The first two steps of the range are: $52,293 to $53,862 per year. Higher salary placement may be available based on qualifications, experience and internal equity.

Working Conditions and Physical Requirements Positions in this job family typically work in an office setting but may be assigned more physical duties such as transporting office supplies and equipment. Position involves sitting for extended periods of time while working at a computer terminal. Some positions may involve limited local travel.
